Refund & Cancellation Policy

1. Service delivery

• All services are delivered online: websites, AI receptionist setup, WhatsApp reminders, ClinicLoop Rx (digital prescription) access, Google profile work, videos and NMC audit reports.
• Work starts within 2 working days of receiving the setup payment and the onboarding details. Typical go-live: AI receptionist 7–10 days, website 10–14 days, NMC audit report 3–5 working days.
• Delivery is confirmed by WhatsApp or email, with access details or the report attached.

2. Setup fees (one-time)

• Full refund if you cancel before we start work (before the onboarding call).
• 50% refund if you cancel after onboarding but before we deliver the first draft or test line.
• No refund once the first draft, test line or report has been delivered. The work has been done.

3. Monthly plans

• Monthly fees are paid in advance and can be cancelled with 30 days' notice after the minimum term in your proposal.
• No refunds for a month already started. Service continues until the end of the paid period.
• Prepaid yearly plans (for example a yearly plan): cancel within 7 days of payment for a full refund. After that, unused full months are refunded minus the yearly discount received.

4. NMC Compliance Audit

Full refund if you cancel before we start the review. Once the report is delivered, it is non-refundable, but includes one free re-check within 30 days.

5. Usage charges

AI receptionist minutes beyond your plan and third-party fees (for example WhatsApp conversation charges) are billed for actual usage and are not refundable.

6. If something goes wrong

If we fail to deliver what your signed proposal promised, tell us. We will fix it within 7 working days, or refund the fee for the undelivered part.

7. How refunds are paid

Approved refunds go back to the original payment method within 5–7 working days through our payment partner, Razorpay. GST is refunded in line with the credit note we issue.

8. How to cancel or ask for a refund
